This notice explains how the Smart Energy Cluster website uses cookies and analytics and handles information submitted through its forms.
Who is responsible and how to contact us
The organisation responsible for the Smart Energy Cluster website and its form submissions is the Institute of Communication and Computer Systems (ICCS / ΕΠΙΣΕΥ) — Ερευνητικό Πανεπιστημιακό Ινστιτούτο Συστημάτων Επικοινωνιών και Υπολογιστών — associated with the National Technical University of Athens.

Information you provide
The information collected depends on the service you choose to use:
- Contact: your contact details and the message you send, so the team can respond to your enquiry.
- Join the Cluster: project details, website, contact person, affiliation, role, email address and the project information requested in the form, so the team can assess and manage participation.
- Dissemination requests: contact and project information, activity details, links and any files you submit, so the team can review and handle your request.
- Matchmaking quiz: answers are used to calculate project suggestions in your browser. If you submit the follow-up form, your contact details and quiz information are sent to the team to handle that request.
Completing a contact, membership or dissemination form does not subscribe you to a newsletter. This website does not currently offer newsletter subscriptions. Please avoid including sensitive personal information or unnecessary information about other people in messages and attachments.
How submissions are handled
Submitted requests are recorded in the website's database and routed by email to the team handling the relevant service. Records include the submitted information, receipt reference, timestamps, attachment references where applicable and delivery status. These records support request handling, troubleshooting and prevention of duplicate delivery.
Form submissions are managed only by the authorised ICCS team responsible for Smart Energy Cluster, rather than shared with other cluster members or made available through a public submissions list. Hosting and email services also process information as part of delivering these functions. Public project or dissemination information may be used to prepare the relevant website content; private contact details are not intended as public directory information.
Essential storage and cookie choices
We use Klaro to manage cookie preferences. Klaro is served with this website and stores your choices in a cookie named klaro, configured to last for 180 days. Essential session and security storage may also be used for functions such as administration and form handling.
Optional Microsoft Clarity analytics is disabled until you accept it. You can decline analytics and continue using the website and its forms. Choose Cookie settings to review or change your choice at any time. When you withdraw analytics consent, the page reloads to stop the loaded tracker. Withdrawal stops future collection through this integration; it does not automatically erase information already collected by Microsoft.
You can also remove cookies using your browser settings. Removing the preference cookie causes the website to ask for your choice again. Blocking essential storage may affect some site functions.
Microsoft Clarity
With your consent, we use Microsoft Clarity to understand website use through heatmaps and session recordings. It can capture page information and interactions such as clicks, scrolling and pointer movements. This is not limited to anonymous aggregate counts.
Clarity uses identifiers including the first-party cookies _clck and _clsk. Microsoft's Clarity cookie documentation describes these and other cookies used by the service.
Microsoft describes its role for Clarity as a data controller. Its processing is explained in the Microsoft Privacy Statement and Clarity terms.
International transfers
We do not claim that all information stays within the European Economic Area. Microsoft explains that EU Clarity customers contract with Microsoft Ireland Operations Limited and that transfers to Microsoft Corporation in the United States are supported by Standard Contractual Clauses. How long information is kept
- Cookie preferences: Klaro is configured to remember your choice for 180 days, unless you clear the cookie earlier.
- Clarity: Microsoft states that playback data is retained for 30 days; heatmaps, click data and labelled or favourited sessions are retained for 9 months. See the Clarity retention policy for the current periods.
- Form submissions: the current submission system does not apply a fixed automatic deletion interval. Records and related correspondence can remain after delivery of the notification email. Contact the team for information about a particular request or to request deletion. Cookie expiry and Clarity retention periods do not govern these separate records.
Your choices and rights
You can withdraw optional analytics consent through Cookie settings. You may also contact the team to request access, correction, deletion or restriction of your personal information, to object to processing where applicable, or to request portability where applicable. Please identify the relevant enquiry or receipt when available, without sending unnecessary sensitive information. The team may need to verify your identity before acting on a request.
You can raise a concern with the Hellenic Data Protection Authority or the data protection authority competent for your circumstances.
Links to external websites
When you follow links to project websites or other external services, their own privacy notices and practices apply. This website's cookie choices do not control those external websites.

This notice may be updated when the website's services or data handling change. The date above identifies the latest update.
